The Process

Job Application Collection

1 Job Application Collection

  • The Employee Hiring system collects Job Applications (CVs) from the Career section of company website, which means all the email applications received at company’s official Email ID gets collected.
  • Employer can also link the company Email ID with different job sites while posting a vacancy. So that all the job applications from job sites will also get redirected to the company Email ID.
  • The HR can also directly upload the Job Applications (CVs) to the Employee Hiring system.
 
Job Application Screening

2 Job Application Screening

  • HR does the initial screening and sorting of Job Applications.
  • HR manually examines the Job Applications (from General folder), and the moves them to the appropriate skills folder (e.g. Java, SQL Server etc.).
  • HR shortlists the candidate, and updates the Job Application’s status as “Shortlisted”.
 
Connecting with Applicant

3 Connecting with Applicant

  • HR contacts the job applicants and ask for their confirmation/availability.
  • HR collects additional information like notice period, CTC etc. and updates this information in Employee Hiring system.
 
Interview Scheduling

4 Interview Scheduling

  • HR schedules the first round of interview for Job Applicants.
  • HR also makes a Hiring Team for interview.
  • Hiring Team gets email notifications (Interview’s meeting Invite through email).
 
Feedback Recording

5 Feedback Recording

  • Hiring Team conducts the interview and records the Interview feedback in the system.
 
Interview Scheduling (Next Level)

6 Interview Scheduling (Next Level)

  • Depending on first round’s feedback of the Interview, HR decides to either schedule next round of interview for the candidate OR to close the process.
  • If the Job Application is shortlisted for next round of interview, then HR updates the Job Application’s status and schedules the next interview (similar to the step # 4 above)
  • HR also makes a Hiring Team for interview.
  • Hiring Team gets email notifications (Interview’s meeting Invite through email).
 
Feedback Recording (Next Level)

7 Feedback Recording (Next Level)

  • Similarly, next level Hiring Team conducts the interview and records the Interview feedback in the system.
  • This process continues until HR keeps on scheduling the next level of interviews OR the candidate gets rejected at any level.
 
Declaring Interview Result

8 Declaring Interview Result

  • If the feedback of the last round of interview is also found positive, then HR marks the candidate as “Selected” in the system.
